Getting Started

Step 1

Create your account and organize your clients' properties

Sign up and create a separate company for each owner client. Each company has its own properties, provider roster, and notification settings — so your clients' portfolios stay cleanly separated in one account.

Tenants don't need to register or create an account. They can submit a request by texting the DisasterChief number, or by visiting the web form and entering their phone number — DisasterChief routes the request to the right property automatically.

Step 2

Build your provider directory

Add the maintenance providers you work with. DisasterChief supports three types, each with its own outreach behavior:

  • Staffyour own employees or on-call team — assigned directly with no estimate step.
  • Independent Contractorsindividual tradespeople you work with — contacted by text, they submit an estimate you approve before work begins.
  • Service Providerscompanies with a dispatcher and crew — notified by text or email, they route work internally and submit an estimate for your approval.

Providers can be shared across all your client companies or kept specific to one. DisasterChief routes each job by trade category, with your own staff always given first priority.

Step 3

Onboard your tenants

When you add a tenant to a unit, DisasterChief sends them a welcome text automatically — introducing the system, confirming their property details, and giving them a link to the web form. They're ready to submit from day one.

Step 4

A request comes in — you're notified

When a tenant submits a request, DisasterChief categorizes the issue and scores urgency from 1 to 5. You and the property owner can both be notified — you control who receives what through per-company notification settings.

Step 5

The right provider is dispatched automatically

DisasterChief selects the best available provider from your directory — matched by trade category — and reaches out. Staff are contacted first, then contractors and service providers in order.

If a provider declines or doesn't respond, the next available one is contacted automatically. If no one can be reached, you're alerted so you can step in.

Step 6

Review and approve the estimate

For contractors and service providers, once they submit an estimate you'll see it in your dashboard. Approve with a tap, or reject and have the system move to the next provider.

If your client owner has approval authority enabled, they can approve estimates directly — without routing through you.

Step 7

The provider coordinates directly with the tenant

Once approved, the provider receives the tenant's contact info and coordinates access and timing directly. Tenants are notified automatically — no messages to relay, no updates to chase.

Step 8

Resolved — audit trail complete

Mark the request resolved from your dashboard. The tenant receives a confirmation text; once they confirm (or 24 hours pass), the request closes automatically.

Every step — submission, triage, outreach, estimate, approval, and resolution — is preserved in a timestamped audit log your clients can view.

Good to know

Separate companies per client

Each owner client gets their own company in your account — with their own properties, provider roster, and notification preferences. Requests, estimates, and technician outreach stay cleanly separated so there's no cross-contamination between clients.

Clients can have their own login

You can invite an owner client as a delegate with read-only or limited access — so they can check the status of requests without calling you. You control exactly what they can see and do.

Approval authority is configurable

You decide whether an owner client can approve estimates independently, or whether all approvals flow through you first. It's flexible enough to match whatever your client agreement looks like.

Works on any phone

The dashboard is a mobile-first web app — install it to your home screen for a native app feel. No App Store download needed. Works on iPhone and Android.
